Description
This article will explain how you can grant Captioning Services access to your audio/video hosted content. Providing access will allow them to obtain media copies used to create captions/transcripts. It will also permit them to upload the caption script/transcript to your directory so that viewers can use the accessible feature/ documentation.
Details
You may have received a request from Captioning Services to grant them access to your video hosting system. They can ensure that your media has captions available to your target audience. Traditionally, we prefer to create Closed Captioned format. This is to meet ADA compliance. Depending on your audience, public release dates, and hosting venues, we may use a different format. If such an scenario requires that our traditional preference to be different, we will consult with you.
The below list of common choices will guide and instruct you on how to perform this action.

Panopto (within Canvas)
Panopto is the recommended choice for supplemental videos that are used every semester in courses. Panopto has been integrated into Canvas. This system is managed by the ITRC. Video and audio files must be uploaded by the instructor into the course's Panopto file directory- as to maintain content ownership. File uploads into Panopto are automatically captioned by the AI. Captioning Services will edit the AI-generated captions to be in Closed Captioned format to ensure the media IS in ADA compliance. This action is behind the scenes and will not disrupt your course.
YouTube Studio
If you use a YouTube Studio account to host your videos, we have either identified or been informed that your content is missing captions or that existing captions need to be updated to Closed Caption format.
To assist with this process, please add our Captioning Services account (captioning@isu.edu) as an Editor in your YouTube Studio account. We will only be activating and editing your identified videos. This process will have no interruption to your course and it's content.

If you have other videos that you would like us to proactively caption, please submit a request to process those as well.
Google Drive
If you have opted to use your own GDrive to host videos, we can accommodate your captioning needs. But will need you to grant us access to the parent directory where your videos reside.
For Gdrive-
- Select the parent folder where these videos are located
- Click Share
- Enter the captioning@isu.edu email address to share access with
- Select Editor as the access role
- Click Send or Share
This should grant and notify us about the access.
Box
With the security parameters of Box, we are not able to perform any tasks without adding a collaborator to the parent directory. This will allow us to download a copy and upload the new captioned version. Because of the restrictions of access, and with a potential need to maintain HIPAA requirements, we will directly contact you to assess the best practice and approach for this content, as well as who the designated collaborator is assigned.

Third Party, Non-ISU Origin Media, or Publisher Content
Third Party, Non-ISU Origin Media, or Publisher Content used in courses are required to meet ADA and Title II compliance. If this content is: 1) hosted by a non-ISU system, and or where ISU does not have administrative access (e.g. where Captioning Services does not or cannot obtain admin access); 2) Fails to have audio transcripts and or video captions in Closed Captioned format; Then under Title II guidelines, the department/instructor are required to discontinue its use within the course/program. If the content is continued to be used by the department/instructor, all legal and financial responsibility falls to them for not being in compliance.
- If found, and Captioning Services are not able to access or produce captions via Amara, or transcripts- you will be required to remove or replace the content with media that does meet compliance.
