DocuSign is an easy-to-use digital transaction platform that allows users to send, sign, and manage legally binding documents securely in the cloud. All faculty and staff will be able to use DocuSign for university business. Students will not be allowed to have a DocuSign account.

Resolution
Each College or Department is assigned a DocuSign sub-account within the ISU Organization account. A sub-account is a separate workspace used to manage documents and users. Each sub-account must have at least one administrator who completes required training, sets up the account, assigns users, roles, and groups, and supports users in their area. Only users assigned to a sub-account can manage documents in that account. Others may view, complete, and sign documents that are shared with them.

Roles in DocuSign:
Each role requires different access to DocuSign. Once your administrator has been assigned to your account, they will create and assign roles to individuals.
  • DS Viewer can sign documents, create and save signatures, and track the routing status or workflow in which they are identified as recipients.  They cannot send envelopes.
  • DS Sender can send envelopes to others and change the routing for subsequent recipients within a given envelope.  They can also use templates and PowerForms.  They cannot bulk-send, create forms, or manage envelopes through the API.
  • DS Admin, in addition to the same access as Senders and Viewers, has access to all electronic signature (eSignature) features and can manage all account settings and users for their account, including creating forms and adding/removing users.
  • Custom Roles (external link) can be created by DS Admins to grant power users specific permissions, such as creating PowerForms, using Bulk Send, or managing envelopes, without assigning the full DS Admin role.

DocuSign Account Request
  1. Go to the DocuSign Departmental Request if your College or Department requires DocuSign
    • Note: The following information is needed to request DocuSign
      • College or Department requesting DocuSign Account
      • Name of Administrator to be assigned to DocuSign account
      • Email of assigned administrator
      • Contact phone # of the assigned Administrator

Finding Email Addresses for DocuSign Accounts and Documents
When using DocuSign (either to send documents or to add Admins, Senders, or Viewers to a DocuSign account), you MUST use the ISU campus email account.  For those who have them, this is the 4x4 email address. Newer employees will have a first-name-last-name email address; this is their campus email account.
  1. If you use the Argos Web Viewer, you can access the ISU Campus Email Address (external link) dashboard to look up the email addresses(es) available.
  2. If you use the Argos desktop client, you can find the ISU Campus Email Address dashboard under: Production_Reporting > General Campus Wide Reports > ISU Campus Email Address > Run Dashboard.
  3. Enter any isu.edu email address that you have and click "Find User."
  4. The CAMPUS_EMAIL column contains the ISU campus email address you want to use to add users to DocuSign accounts.
