Simple Box Backup
ISU currently does not have an automatic solution to backup data on your devices. However, it is still our responsibility to protect mission-critical data. The steps below detail an easy manual method that only needs to be done occasionally. It's important to set an update schedule to avoid data loss. We recommend following these steps once a month or every time you change your password to create semi-regular backups.
Installing Box Drive
Install the Box Drive app
- Go to https://isu.app.box.com/app-center/box_drive/app
- Click Add.
- A notification will appear detailing permissions are needed. Click Proceed to go to the next step.
- A new browser tab will open for Box downloads.
- Click the button Download Box Drive for Windows.
- The file will download to your downloads folder.
- In your downloads folder, double click the downloaded file and install.
- A new login to Box Drive window will appear.
- Click the Log In button and enter your Box (ISU) credentials.
- Note: A new tab will open to the Box login page. You will enter your email address and will then be take to the ISU single-sign on page where you will enter your ISU credentials.
- You may be asked if you want to open the Box application.
- Click Open.
- You will see a new window Welcome to Box Drive!
- You can choose to Take Tour or close the window.
- Open File Explorer (Windows Key + E ) and double check that Box is on the left hand menu.
Backing up your Data
- Open Your File Explorer (Windows Key + E ).
- Navigate to the Box section on the left hand side.
- Expand the list by clicking on the drop down arrow.
- Right click Box and Select Create Folder. Note: You may also create the folder at isu.box.com beforehand.
- Name folder something easily distinguishable from your other folders and never share this folder. This will be your backup folder.
- Right click the folder you just created and select Open in New Window. You should now have two windows for File Explorer.
- In one Window, open Box on the left hand side and find your folder for backups that you created earlier.
- In the other window, navigate to This PC/ Local Disk (C:)/ Users/ “YourUsername”. Note: Remember to not store personal information in Box.
- Select the folders that you would like to back up. You can best select the folders you want by holding CTRL and clicking the items you want to select. Usually the following folders are the most important to standard users:
- Desktop
- Documents
- Downloads
- Pictures
- Videos
- PLEASE DO NOT BACKUP THE FOLLOWING ITEMS as this creates duplicates of data that is already stored in the cloud:
- Box
- Google Drive
- DropBox
- Any other cloud storage option as this creates duplicates of data that is already stored in the cloud.
- Once you have selected the desired folders, right click and select Copy.
- Navigate to the Box window we set aside and while inside the backup folder, right click and select Paste.
- Note: Never Move data ALWAYS Copy to avoid losing data.
- When you copy data over, there will be some system files that are unable to be copied over. You can skip these files. If you are unsure, you can always call the Service Desk and ask.
- Once you have copied the files over, open the Box folder and make sure all the uploads have a blue cloud icon.
- This icon confirms that your data has been successfully uploaded to the cloud.
Congratulations! You have successfully created a backup of your device and protected your important files.
