Zoom Rooms have a system separate from the dedicated computer that hosts your Zoom Meeting and connects devices (e.g., the dedicated computer, a laptop you bring, or a document camera) to the room’s AV components (displays, cameras, microphones, and speakers). It is recommended that you create your Zoom Meeting for your course or meeting, then submit it to IT via the Zoom Rooms Calendar Entry Request form to verify your settings add to the calendar event for your class on the classroom’s Google Calendar.
For courses, it is recommended to schedule one Zoom Meeting per course in Canvas. For more on that, see the article on Adding a Zoom Meeting Link in ISU Canvas for Faculty. For one-time meetings, schedule the meeting either with the Zoom Client app on your computer, the Zoom add-on for Google Calendar, or from your account at isu.zoom.us.
To have full control of your meeting from the Zoom Room controller, some settings on your scheduled Zoom Meeting need to be configured correctly:
Zoom Security Settings
- Visit isu.zoom.us
- Select Sign in
- Sign in using your ISU credentials
- Select Meetings on left
- Select your Meeting
- Under Security, uncheck the box next to Waiting Room.
- Under Video, turn video ON for both Host and Participants.
- Next to Options, click Show, then:
- Uncheck the box next to Allow participants to join anytime.
- (Optional) If you would like your class recorded, check the box next to Automatically record meeting and select the radio button next to In the cloud.
Once you have your Zoom Meeting scheduled and the settings above configured, send your Zoom Meeting ID using the Submitting a Zoom Meeting for Use in a Zoom Room form to the right.
Notes:
- Schedule your Zoom meeting in your Zoom account or in Canvas before filling out the Zoom Rooms Calendar Entry Request form.
- Have the course title, Zoom Meeting ID, building, and room number ready when you fill out the form.
- Submitting this form does not replace the requirement to schedule your course or meeting through the Office of the Registrar (or through your department's administrative staff for department-dedicated classrooms).
