About the Zoom Room Controller

On the Zoom Controller touch panel, touch the Poly logo in the lower-right corner of the touch panel.

Description

Your main interface in a Zoom Room is the Zoom Controller: a touch panel on the podium with the room’s calendar and familiar Zoom meeting controls. In INCLUDE classrooms, the controller is either a Poly TC8 or Poly TC10 touch panel.

Details

The Zoom Room controller has three main views: the Home page, the Share page, and the In-Meeting page. Additional views include the Settings page and, in some rooms, a Room Controls page. Expand the accordions below to read more about what is offered with each view and how they can be accessed.

Home Page

From the Home page of the Zoom Room controller, you can start a new meeting, join an already existing meeting from the calendar, or share content within the room without connecting to a call at all.

If you aren’t the first instructor teaching in your Zoom Room that day, the controller is likely to be on the Share page and currently sharing the desktop locally. If left on this screen, the Zoom Room system will continue to share the desktop for viewing locally only, even if it automatically joins a scheduled meeting. If you would like to change the content that is shared or start your scheduled meeting early, tap the red Stop sharing button.

Note: Tapping on Start meeting beneath the Stop sharing button may start a new, instant meeting rather than your upcoming scheduled meeting.

The Share page shows the hardwired devices connected as well as instructions to wirelessly share content from another device using either the Zoom App or a web browser. If not already sharing the hardwired device’s content locally, one or two buttons will be displayed under the hardwired device in the list: View Locally or Share to Meeting (only shows while in a Zoom meeting).

Also available on the Share page is the volume control under the share list and access to other pages in the top, right-hand corner, including the Settings cog, which displays options available to you with the current configuration, and possibly also a remote icon to take you to the Room Controls page.

To access the Share page:

From the Home page, tap on the blue Share Content button.
From teh In-Meeting page, tap on the green Share Content button.

In-Meeting Page

While in a Zoom meeting, the controller will display controls similar to the controls available in the Zoom Client app. The top row of buttons includes Mute/Unmute, Stop/Start Video, and Share Content. The middle row will include the remaining Zoom controls available to you in your meeting, with less-common controls available by tapping More. The bottom row displays the red End/Leave button and the volume control.

If your Zoom Room system was not the first to join your Zoom Meeting, you may not have Host controls available to you. See the article If Host Controls are Unavailable to regain access to those Host controls and the article Scheduling a Zoom Meeting for Use in a Zoom Room to ensure your settings enable the room to be the first in the meeting.

Settings Page

The Settings page displays the following payloads: General, Microphone, Speaker, Camera, Statistics, Help, and About.

In the General payload, you can see the Room name, the Meeting ID for the Zoom Room (disabled by default), a link to the display arrangement options, an audio echo test, the Appearance (Light, Dark, or Auto), and a button to Reboot (see the article Rebooting your Zoom Room System from the Zoom Controller).

The Microphone payload displays the current volume for the microphones, a button to start a microphone test, the microphone source, and an Advanced interface for noise suppression.

The Speaker payload displays the current volume for the speakers, a button to start a speaker test, the speaker source, and an Advanced interface for spatial audio (do not use).

The Camera payload displays the selections for the Main and Multi-camera modes.

The Statistics payload displays information on the usage of the Zoom Room system, some of which may be helpful in troubleshooting issues; however, IT has access to see these reports.

The Help payload allows you to send crash reports to Zoom or alert IT to issues you are experiencing.

The About payload displays the software versions, Zoom’s Privacy Policy, and disclaimers for open source software utilized in this Zoom Room.

Room Controls Page

In classrooms consisting of an Extron control system, but without a physical Extron touch panel, the Room Controls page will be available from the Zoom Room Controller. This page may display buttons that power on/off the displays in the room, raise/lower the projector screen, and select your content source (the device the room system will use as the hardwired content source; including the desktop, a device connected to the cable for Bring Your Own Device (BYOD), and possibly more).

To access the Room Controls page:

From the Home page, select Room Controls from the left-hand navigation on the screen.
From the Share or In-Meeting pages, select the remote icon in the top-right corner of the screen.
