This article provides instructions on how to manage your Google Workspace and Microsoft 365 accounts when you graduate or separate from Idaho State University (ISU). It also provides steps for transferring or downloading files you want to keep.

Recommended Steps When You Graduate or Separate from ISU

Before you graduate or separate from ISU, complete the following steps to help prevent the loss of important files or access to services:
  • Review files stored in Google Drive and Microsoft OneDrive.
  • Download or transfer files you want to keep.
  • Create personal Google and Microsoft accounts if needed.
  • Update websites, applications, and other services that use your ISU email address.
  • Verify that important files are accessible from your personal accounts or devices.

Google Workspace

ISU Gmail

When you graduate, retire, or qualify for ISU alumni status by completing 24 credits, you may retain your ISU Gmail account with a 5 GB storage limit.
  • Note: To keep your ISU Gmail account active, you must sign in at least once every 365 days. Accounts that are not accessed within this period may be deactivated.

Google Drive and Google Workspace Applications

When you graduate or separate from ISU, access to Google Drive and its associated applications will be removed.
This includes:
  • Google Docs
  • Google Sheets
  • Google Slides
  • Google Drive and its associated cloud storage

IMPORTANT: Before your ISU Google Workspace access ends, transfer or download any files you want to keep.


Create a Personal Google Account

Visit Google to create a personal Google account. A personal account allows you to continue using Google services after you leave ISU.

Transfer Your Google Data

Visit Google Takeout to download or transfer data from your ISU Google account before your access is removed.

Microsoft 365

When you graduate or separate from ISU, access to Microsoft 365 applications and services will be removed.
  • This includes:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
    • Microsoft Teams
    • Microsoft SharePoint
    • Microsoft OneDrive and its associated cloud storage

IMPORTANT: You can create a free personal Microsoft account to continue using Microsoft services after leaving ISU.

Visit Microsoft to create a free personal Microsoft account.

Transfer Your Microsoft Data

Follow Microsoft's instructions for transferring files to a personal OneDrive account to transfer or download your Microsoft 365 files.

Note: You can save files directly to your personal computer by downloading them before your ISU access ends.
