Running and Managing Budget Queries in the Finance Dashboard in MyISU

Learn how to use MyISU’s Finance Dashboard to create, save, and manage budget queries using the My Finance Query tool. This guide walks you through running a Budget Status by Account query, selecting useful data columns, saving your query parameters, and accessing related financial documents.

Details

  1. Log in to MyISU with your Username and Password.
  2. Click the Main Menu button (top left) and click All Cards
  3. In the Find Cards search bar, type Finance Dashboard and select it from the dropdown menu.
  4. Click on the Finance Dashboard card.
  5. Click on My Finance Query to create, view, and share budget availability, encumbrance and payroll queries.
  6. Click the New Query blue button (upper right)
  7. Under Select Query Type, choose Budget Status by Account.
  8. Scroll to the Index field and enter your index code.
    • Note: If your Index generates revenue, scroll down and ensure that Include Revenue Accounts is checked.
  9. Confirm that the Fiscal Year is current and the Fiscal Period is set to 14
  10. In the Operating Ledger section, choose the columns you want to include in your query.
    • Note: Recommended columns include:
      • Accounted Budget - Starting amounts (especially for state-appropriated accounts)
      • Year to Date – Total expenditures so far this fiscal year
      • Commitments – Encumbered funds, such as purchase orders
      • Available Balance – Remaining budget (calculated from the other three columns)
  11. Click SUBMIT to run your query
Notes: 
  • You must have Fund/Org access to run queries for specific Indexes.
  • Queries can be saved, shared, or downloaded after they are submitted.
Navigating and Managing Your Finance Query
  • Expand Details: Click the dropdown arrows in each section to view additional information.
  • Edit Query: Click the pencil icon (upper right) to return and modify your query parameters.
  • Download Results: Use the down arrow icon (upper right) to export the current results to an Excel spreadsheet.
  • Additional Options: Click the three-dot menu (upper right) to access more features, such as viewing pending documents.
Saving and Accessing Queries
  • Save a Query:
    • Click the Save icon, enter a name for your query, and save.
      • Note: This saves your query settings (parameters), not the actual results. Your saved queries will appear under Saved Queries on the main My Finance Query page.
  • Mark as Favorite:
    • To add a Saved Query to your main dashboard, click the Star icon (bottom of the Saved Query card). This makes it easier to find and run frequently used queries.
Viewing Specific Documents
  • Click the View Document icon (upper right) from the main My Finance Query page.
  • Select the document type and enter its number.
  • Choose one of the following:
    • View Document – To open the actual document.
    • Approvals & Related Documents – To see linked items such as Requisitions, Invoices, or Check numbers.
