Choosing Settings for a Zoom Meeting

Scheduling a Meeting in an ISU Canvas Course

  1. From within the ISU Canvas course, select the Zoom activity from the Navigation menu.
  2. In the top right corner, click Schedule a New Meeting.
  3. Configure desired settings and Save.

Topic and Description

  1. Topic - Enter a topic or name for your meeting. The default will be the name of the course as listed in ISU Canvas. 
  2. Description - Enter an optional meeting description.

Calendar Details

  1. When - Select a date and time for your meeting. You can manually enter any time and press enter to select it. For example, you can enter 15 in the minutes field to schedule a time with a 15-minute increment.
  2. Duration - Choose the approximate duration of the meeting. This is only for scheduling purposes. The meeting will not end after this length of time.
  3. Time Zone - By default, Zoom will use the time zone set in ISU Canvas. 
  4. Recurring meeting - Check if you would like a recurring meeting (external link) (the meeting ID will remain the same for each session). This will open up additional recurrence options.
    • Recurrence - Select how often you need the meeting to recur: Daily, Weekly, Monthly, or No Fixed Time. Meetings can recur up to 50 times, so if you need more than 50 recurrences, use the No Fixed Time option.
    • The other recurrence options will depend on the meeting's recurrence frequency. You can configure the meeting to end after a set amount of occurrences or have the recurring meeting end on a specific date.

Registration

Not recommended for regular class meetings using Zoom. For more information, see Scheduling and customizing a meeting with registration (external link).

Security

  1. Passcode -  Enter a meeting passcode. Participants will be required to input this before joining your scheduled meeting.
    Note: The meeting passcode must meet complexity requirements set by the ISU Zoom administrator.
  2. Waiting Room - Enable Waiting Room for the meeting if you wish to have participants wait to be admitted by you.
  3. Require authentication to join - Restrict access to the meeting so that only signed-in users can join.

Meeting Options

  1. Video
    • Host - Choose if you would like the host's video on or off when joining the meeting. Even if you choose off, the host will have the option to start their video.
    • Participants - Choose if you would like the participants' videos on or off when joining the meeting. Even if you choose off, the participants will have the option to start their video.
  2. Audio - Allow users to call in using Telephone only, Computer Audio only, or Both.
  3. Allow participants to join before start time. Allows participants to join the meeting without you or before you join. 
  4. Mute participants on entry - If join before host (external link) is not enabled, mute participants as they join the meeting. Participants can unmute themselves after joining the meeting. Note: To mute all participants currently in a meeting, see the options to manage participants in a meeting (external link).
  5. Use Personal Meeting ID (PMI) - If enabled rather than generating a random meeting id, the meeting will use your PMI. Note: In order to avoid having uninvited participants access the meeting, use caution when sharing your PMI.  
  6. Automatically record meeting - Select if you want to record On the local computer or In the cloud.

Alternative Host

  1. Designating an alternative host - When scheduling a meeting, the host can designate another user who has an ISU licensed account to be the alternative host. The alternative host can start the meeting on the host's behalf. Note: The user you add will receive an email notifying them that they've been added as an alternative host, with a link to start the meeting. See, Designating an Alternative Host (external link).

Save Options

  1. Save - Creates meeting session(s).
  2. Cancel - Cancels the creation of meeting session(s).
