Using the Disability Services Instructor Portal

This article provides instructions on how to use the Disability Services' Accessible Information Management: Instructor Portal at Idaho State University (ISU). Instructors can access the Instructor Portal via the ISU Disability Services web page.

Alternate Formats for Textbooks and Course Materials

The Alternate Formats module provides information on textbooks and course materials being converted to alternate formats for accessibility. Tabs at the top of the page allow the instructor to view by students or books. 

  • List Students: Lists students with alternate format requests in a table by term.
  • List Books: Lists books and other materials individually.

Communication Access

The Communication Access, List Students module allows instructors to view accommodation requests by assignment, CRN, subject, course, section, full name of student, campus, the requested date, and the request type. Select View under the Assignment column to display assignment details such as the accommodation provider, type of accommodation, date and time, and meeting location.

If instructors are allowed to download transcripts from the services, they will have an additional tab for Transcripts at the top of the Communication Access module. The tab opens a table listing of transcript files for their courses. If courses have any third party assignments, details will be listed at the top of the page.

Flex Plans

The Flex Plans module is used by faculty to initiate flex plans for students requesting accommodations. The Flex Plans module provides a table that lists the status, number of students, CRN, subject, course, section, campus, syllabus, Earliest Date, Initiated On Date, Initiate By, Completed Date, and any Instructor Reminders.

  • Method 1: Completing Individual Flex Plans
    • Navigate to Flex Plan
    • Select View for the plan you want to work on
    • Complete the List of Questions for the course (Note: Some schools pre-populate default answers which can be adjusted based on the essential requirements of the course.)
    • Upload a Syllabus for the course
    • Select Initiate and Request Review to will alert the Disability Services office
  •  Method 2: Completing Flex Plans in Bulk - multiple courses can be completed in bulk
    • Navigate to Flex Plan
    • Select the check boxes next to the requested plans to be completed in bulk (i.e. All sections of BIOL 1100)
    • Choose Start a New Plan from the drop down list then select Specify Flex Plans for Multiple Courses
    • Complete the Question List - pre-populated answers can be adjusted based on the essential functions of the course
    • Select Initiate and Request Review to alert the Disability Services office
  • Method 3: Copying Flex Plans - a previously completed plan can be copi
    • Navigate to Flex Pla
    • ​​​​​​​Select Initiate and Request Review to alert the Disability Services office
    • You will have the option to make any adjustments needed in the Question List
    • Choose the plan that you want to copy to the new courses from the drop down list
    • Choose which classes will be completed by the copy method

Once Flex Plans have been initiated, instructors can select the Implementations tab to view the status of the requests.

Notetaking Services

From the Notetaking Services module, instructors can view a list of students who are being provided with Notetaking Services in their courses. Instructors can download and view notes uploaded to the portal for their classes. 

Testing Accommodations

From the Testing Accommodations module, instructors can submit exam dates for their courses. 

  1. Access the Testing Accommodations module
  2. Select the link to the Number of Courses without Exam Dates
  3. For the course you wish to add exam dates, select View/Modify Course Instruction
  4. Select List Exam Dates from the top menu
  5. Enter details for the exam using the drop down menus and text boxes
    1. Exam type
    2. Approval Method
    3. Date of exam
    4. Approval Grace Period (minimum of 1 day must be selected) - Indicates an allowance period before or after the scheduled exam date that the exam can be scheduled to allow students to choose a date within the grace period window
    5. Time of exam
    6. Standard length of time allotted for exam
    7. Skip Automated Exam Reminder (yes or no)
    8. Additional Notes for Disability Services staff

Bulk Exam Upload

Instructors can choose from a list of upcoming exams to apply one file to.

  1. Once you have selected the exams that need a file, scroll down and enter the file title and select the file from your computer to upload
  2. Press the Upload File button. Once uploaded, the list will identify which exams have a file associated.

In addition, instructors can:

  • Select Alternative Testing
  • To change the term, use the Next Term link (top right)
  • Indicate whether they will proctor their own exams or submit a Testing Contract for disability services
  • View schedule exam requests and their statuses
  • Upload exams directly
  • Delete an exam date by selecting Delete for the selected exam
    • If deleting is possible, the system will display a warning
    • If an exam is scheduled with more than 7 days notice, it will be identified
    • If an exam date has passed or if it is scheduled within 7 days, it cannot be deleted and a message will be displayed to the instructor

Video Captioning

  • The Video Captioning module shows the amount of videos per each class that have captioning requests.
    • View: Takes the instructor to view all videos processed for the course
    • Course Status: Shows how many videos will be coming up on the schedule. The Add video requests link will take you to the page to input more video information
    • Video count: Shows how many videos assignments total are being processed for the course
    • Your requests: Indicates how many video requests have been submitted, but not yet transferred over as an assignment
    • Other items listed in the table: Course CRN, Subject, Course, Section, Course title, Campus, Students (amount of students with a captioning request in the course), and request date
  • The Upcoming Videos page shows videos that will be coming up according to the show date. Select Link to go to the captioned video url that was input into the Video Assignment Details. Other details on page include: CRN, Subject, Course, Section, Video title, Show date, Type and Updated on.
  • The All Videos page will show all the videos being processed for an instructor's courses. 
  • When an instructor selects the link to the Video Captioning form in the accommodation request email they received, they will be taken to a page where they can input video information for their class. This does not require the instructor to log-in, so to view more information related to the progress of their requests, they will need to log-in to view their classes through the Instructor Log-in option.
  • The List Video Requests page shows the video title, the show date and whether or not their request has been transferred over to the assignment page
  • In the Video Captioning Requests Form, instructors are required to input the video title, type, show date and length. If the video is online, they can provide a source link. They can also indicate if they are showing the full video or just a segment.
