How can I transfer my Google Photos to a personal Gmail account?

Resolution

Google Photos will be unavailable after April 15th, 2024. You must transfer and delete your photos before the upcoming Google Storage Limits take effect. After you delete the files you will need to empty your trash for your storage amount to go down.

Transfer Photos to a Personal Google AccountView Details

On your computer, go to photos.google.com
Sign in with your ISU Email and Password (if prompted)
- Note: If you are not prompted to sign in, confirm using your ISU account by hovering over the circle with your profile image or initials at the top right corner and ensure it displays your ISU email address.
  - If you are not using your ISU account, click on your profile image or initials at the top right corner of your browser. If you are using your ISU account. Then, select the profile with your ISU information.
  - If your ISU profile isn't already added as another account, choose Add Another Account at the bottom of this menu and add your ISU account.
Click Settings and Partner sharing (top)
- Note: Leave the starting date off to ensure that ALL your photos are transferred or deleted and none of your precious memories are left behind.
Choose to include ALL photos. Click Next.
Enter your personal Gmail address. Click Next.
- Note: You can only invite someone with a Google Account.
Review the information provided and Click Send Invitation if everything is correct.

Accept the Partner-Sharing Invitation

Go to photos.google.com on your computer
Sign into your Google Personal Account that you invited
Click Sharing (left side)
Click the invitation you want to accept and Click Accept
Click Not Now when you will see the option to share photos back

Note: The previous steps only allow you to share your photos. Your photos have not been saved to your personal account. Please continue to save your photos on your personal account.

Save Photos to your Personal Account:

Go to photos.google.com on your computer
Sign into your Google Personal Account that you invited
Click Settings (top) and Partner sharing.
Click Save to Account (below Partner sharing) to see options.
Click Save.
- Note: All photos in the partner sharing will be saved.
Click Done.
Return to your ISU account and delete the photos found there using the steps below.

Download Photos and Transfer to a Choice Storage LocationView Details

Go to Google Takeout
Sign in with your ISU Email and Password (if prompted)
- Note: If you are not prompted to sign in, confirm using your ISU account by hovering over the circle with your profile image or initials at the top right corner and ensure it displays your ISU email address.
  - If you are not using your ISU account, click on your profile image or initials at the top right corner of your browser. If you are using your ISU account. Then, select the profile with your ISU information.
  - If your ISU profile isn't already added as another account, choose Add Another Account at the bottom of this menu and add your ISU account.
Click Deselect All (upper right corner) of the Products section
- Note: Google automatically selects all services that store your data.
Scroll and Select Google Photos.
Click All photo albums included.
- Note: The tool will display all the albums you have in your account.
Choose to keep them all selected or click Deselect all to select specific albums you’d prefer to export.
Click OK.
Click Next step (bottom of the page)
Ensure the default Send download link via email is selected.
Ensure Frequency is set to Export once.
- Note: You can adjust your export's file type and size under File type & size. The defaults are .ZIP and 2GB.
Click Create export.
- Note: Google will begin exporting this data, which may take hours or even days to complete.

View your Download

After completing the export process, you will receive an email from Google Takeout titled Your Google Data has been exported.

Open this email and Click on any of the download buttons.
- Note: There might be multiple files to download, and you will only have one week to download your files.
This will take you to a new tab. In this tab, select Download next to each item.
Repeat this process until you have downloaded everything.
- Notes:
  - You should always compare your Google Takeout data with the original data in your ISU Google account to ensure everything has been exported properly.
  - You can transfer this data to an external drive after downloading it.
  - Avoid retrying the same Takeout request while awaiting completion, as it may lead to duplicated effort/data and potential confusion. Nevertheless, you can promptly submit another Takeout request for additional Google data types (Contacts, Calendars, Email, etc.). There's no need to wait for your other Google Takeout request.

Delete your Google Photos (Files must be deleted manually after export)View Details

This step is crucial because the files are not automatically removed after exporting data from your ISU Google account using Google Takeout. Therefore, you need to delete them manually.

Go to Google Photos.
Sign in with your ISU Email and Password (if prompted)
- Note: If you are not prompted to sign in, confirm using your ISU account by hovering over the circle with your profile image or initials at the top right corner and ensure it displays your ISU email address.
  - If you are not using your ISU account, click on your profile image or initials at the top right corner of your browser. If you are using your ISU account. Then, select the profile with your ISU information.
  - If your ISU profile isn't already added as another account, choose Add Another Account at the bottom of this menu and add your ISU account.
Choose how you want to select your photos/videos:
Click the checkmark beside every date in your library to select every photo from that date.
Click the checkmark by the most recent photo in your library (top left corner), hold Shift, and click the last photo you can
- Note: It is difficult to scroll while holding Shift; stop holding Shift, scroll down, hold Shift again, and repeat this process.
  - If you have a lot of photos, you will want to complete this in more manageable chunks until everything is deleted.
Click Trash (top right corner) and Click Move to trash to confirm your deletion.
- Note: You may need to click Got it before Move to trash appears if you’ve never deleted data from Google Photos.
Click Empty Trash to complete removal. (Google automatically empties your trash after 30 days. During that time, the files will still be counted as part of your data total.)
