Granting Captioning Services Access to Course Multimedia Content

This article provides instructions on how to grant Captioning Services access to your audio/video hosted content at Idaho State University (ISU). 

You may have received a request from Captioning Services to grant them access to your video hosting system. Granting access allows Captioning Services to obtain media copies used to create captions/transcripts. It will also permit them to upload the caption script/transcript to your directory so that viewers can use the accessible feature/ documentation. Captioning Services will do their best to ensure that your media has captions available to your target audience.

Panopto is the recommended choice for supplemental videos that are used every semester in courses. Panopto has been integrated into Canvas. This system is managed by the ITRC. Video and audio files must be uploaded by the instructor into the course's Panopto file directory- as to maintain content ownership. File uploads into Panopto are automatically captioned using AI. Captioning Services will edit the AI-generated captions for accuracy and to be in ADA compliant closed caption format. This action is behind the scenes and will not disrupt your course. 

• No action is required to grant access to this system, as Captioning Services already has system editor rights. 

If you use a YouTube Studio account to host your videos, we have either identified or been informed that your content is missing captions or that existing captions need to be updated to Closed Caption format. To assist with this process, please add our Captioning Services account (captioning@isu.edu) as an Editor in your YouTube Studio account. We will only be activating and editing your identified videos. This process will have no interruption to your course and it's content.

If you have other videos that you would like us to proactively caption, please submit a request to process those as well.  

If you have opted to use your own isu.edu GDrive to host videos, we can accommodate your captioning needs. But will need you to grant us access to the parent directory where your videos reside. To grant access:

1. Select the parent folder where these videos are located
2. Click Share
3. Enter the captioning@isu.edu email address to share access with
4. Select Editor as the access role
5. Select Send or Share

With the security parameters of Box, we are not able to perform any tasks without adding a collaborator to the parent directory. This will allow us to download a copy and upload the new captioned version. Because of the restrictions of access, and with a potential need to maintain HIPAA requirements, we will directly contact you to assess the best practice and approach for this content, as well as who is assigned as the designated collaborator. Captioning Services will contact you for content assessment and access.

Third Party, Non-ISU Origin Media, or Publisher Content used in courses are required to meet ADA and Title II compliance. If any of the following applies to the content, under Title II guidelines, the department and/or instructor will be asked to discontinue its use within the course and/or program:

1. Content is hosted by a non-ISU system and ISU does not have administrative access (e.g. where Captioning Services does not or cannot obtain admin access)
2. Content fails to have audio transcripts and or video captions in Closed Captioned format.
